Privacy Policy
Last updated: September 9, 2026
Welcome, and thank you for being here.
Etched from the Soul respects the privacy of those who visit this website, purchase an offering, download a digital product, choose to stay connected, or otherwise correspond with us.
This Privacy Policy explains what information Etched from the Soul
may collect, why we use it, when it may be shared with service providers,
and the choices available to you.
This Privacy Policy should be read together with the Etched from the Soul Terms and Conditions.
1. Information We Collect
The information we collect depends upon how you interact with Etched from the Soul.
Information you provide directly
When you place an order, create an account, request a digital download, contact us, or otherwise interact with the website, you may provide information such as:
- your name;
- email address;
- telephone number;
- billing and shipping address;
- account information, if you create an account;
- products purchased and order history;
- information included in an order note;
- personalization details, dedications, names, dates, inscriptions, or other content you ask us to incorporate into a personalized or Legacy piece;
- communications you send to Etched from the Soul; and
- your choice about whether to receive ongoing communications from us.
Information collected through the website
When you browse or use the website, certain technical information may also be collected automatically, including information such as:
- Internet Protocol (IP) address;
- browser and device information;
- pages visited and referring pages;
- date and time of website activity;
- shopping-cart and checkout session information; and
- information used to maintain website security, prevent fraud, diagnose technical problems, and keep the website functioning properly.
2. How We Use Information
Etched from the Soul uses personal information only for legitimate purposes connected with operating this website and fulfilling the exchange you have chosen to enter into with us.
These purposes may include:
- processing and fulfilling orders;
- delivering digital purchases and download access;
- preparing personalized or Legacy pieces;
- communicating about an order, payment, shipment, download, or fulfillment issue;
- calculating applicable sales tax;
- processing payments and refunds;
- preventing fraud or misuse of the website;
- maintaining customer and transaction records;
- responding to questions or requests;
- providing customer service;
- maintaining and securing the website;
- complying with accounting, tax, legal, and regulatory obligations; and
- sending occasional reflections, announcements, releases, or related communications when you have separately chosen to receive them.
We do not use an email address provided solely for an order or digital delivery as permission to add you to an ongoing promotional or mailing list.
3. Orders & Personalized Work
When you place an order, Etched from the Soul receives the information reasonably necessary to process, prepare, deliver, and maintain a record of that order.
For physical products, this may include your name, contact information, shipping address, products ordered, and fulfillment information.
For personalized or Legacy pieces, it may also include names, dates, dedications, inscriptions, selected content, or other information you intentionally provide for inclusion in the work.
Information provided for personalization is used for the purpose of creating and fulfilling the requested piece and for reasonably necessary business records associated with the order.
Because Etched from the Soul creates work that may companion grief, memory, transition, relationship, and other deeply personal experiences, information you choose to include in a dedication or personalization may itself be meaningful or private. We treat that material with appropriate care and do not use it for unrelated promotional purposes without permission.
4. Payments
Payments made through the Etched from the Soul website are currently processed through WooPayments, which operates in partnership with Stripe.
When you make a payment, information necessary to complete and protect the transaction is transmitted to the payment services involved. This may include your name, email address, billing information, transaction amount, payment-method information, transaction identifiers, and information used for fraud prevention and payment authorization. WooCommerce specifically advises merchants using payment gateways to disclose this type of information sharing.
Stripe may receive transaction information as part of providing the payment infrastructure used by WooPayments, including payment and contact information necessary to authorize, process, settle, refund, or protect a transaction.
Etched from the Soul does not receive or store your full payment-card number through the normal WooPayments checkout process. We may receive limited payment information associated with the transaction, such as the type of payment method, the last digits of a card, transaction identifiers, payment status, and related accounting information.
Payment providers process information under their own terms and privacy practices: WooPayments privacy information (Automattic) and Stripe Privacy Policy.
5. Shipping & Fulfillment
When a physical product must be shipped, information necessary to deliver the order may be shared with shipping-label services, postal services, delivery carriers, or other providers involved in fulfillment.
This generally includes information such as your name, shipping address, and information reasonably necessary to create and track the shipment.
We do not provide shipping information to those services for their unrelated marketing purposes.
6. Email & Staying Connected
There is an important distinction between transactional communication and ongoing communication.
If you provide an email address when placing an order, we may use it to:
- confirm the order;
- provide a receipt;
- deliver a digital purchase;
- provide download information;
- communicate about payment or fulfillment;
- provide shipping or tracking information; or
- resolve an issue connected with the transaction.
Providing an email address for these purposes does not by itself mean that you have chosen to receive ongoing reflections, announcements, releases, or promotional communications.
When you separately choose to stay connected with Etched from the Soul, typically through an optional checkbox presented at checkout or elsewhere on the website, we may send occasional communications about new guides, releases, reflections, or related offerings through Brevo, our email and marketing-automation service provider.
Brevo is also integrated with our WooCommerce store and may create or update a contact record and receive ecommerce information independently of whether you choose to receive ongoing communications. The existence of a Brevo contact record, inclusion on a technical or automation list, or a status assigned by the Brevo platform does not by itself constitute your consent to receive promotional communications from Etched from the Soul.
Etched from the Soul treats the separate affirmative “Stay Connected” choice, or another affirmative subscription request, as the basis for ongoing promotional communications. You may withdraw that choice at any time through the unsubscribe option provided in an email or by contacting us.
7. Cookies & Similar Technologies
Etched from the Soul uses cookies and similar technologies where reasonably necessary to operate the website and online shop.
These technologies may be used to:
- remember the contents of a shopping cart;
- maintain a checkout session;
- enable account or login functions;
- process payments;
- help prevent fraudulent transactions;
- maintain website security; and
- understand or troubleshoot website performance.
WooCommerce and payment services may place cookies necessary for shopping-cart continuity, payment processing, and fraud prevention. WooCommerce documents, for example, WooCommerce session and Stripe-related cookies used in payment integrations.
Etched from the Soul also uses Brevo, an email and marketing-automation service whose technology is integrated with this website. Brevo may place a visitor identifier or other tracking technology in a visitor’s browser and may receive website and ecommerce events. When a visitor becomes identified through the website or its integrations, certain activity may be associated with a Brevo contact record. Brevo is also used for email delivery, list management, ecommerce synchronization, and related automation functions.
Etched from the Soul does not use Brevo for third-party advertising.
Most browsers allow you to control or delete cookies through browser settings. Disabling cookies that are necessary for shopping-cart, checkout, login, or payment functionality may prevent parts of the website from working correctly.
8. Service Providers
Etched from the Soul relies upon carefully selected third-party services to operate portions of the website and business.
Depending upon the transaction or service involved, these may include providers that assist with:
- website hosting and infrastructure;
- WordPress and WooCommerce ecommerce functions;
- payment processing (WooPayments and Stripe);
- fraud prevention;
- sales-tax calculation;
- email delivery, marketing automation, and synchronization of customer, order, and product information (Brevo);
- security and spam prevention;
- shipping and tracking;
- website maintenance; and
- accounting or professional services.
We provide these services only with the information reasonably necessary for them to perform the function for which they are engaged.
Some service providers may also process information according to their own legal obligations and privacy policies.
9. When Information May Be Disclosed
Etched from the Soul does not sell customer lists or personal information as part of its business model.
We may disclose personal information when reasonably necessary:
- to fulfill an order or provide a requested service;
- to payment, shipping, technology, security, or other service providers acting in support of the business;
- to investigate or prevent fraud, misuse, or security threats;
- to comply with applicable law, regulation, subpoena, court order, or other lawful process;
- to protect the rights, safety, property, or legitimate interests of Etched from the Soul or others; or
- in connection with a legitimate business reorganization, transfer, or succession, should one ever occur.
We do not disclose personally meaningful dedication or personalization content for unrelated advertising or promotional use without permission.
10. Data Retention
Etched from the Soul retains personal information for only as long as reasonably necessary for the purposes for which it was collected and for legitimate business, accounting, tax, security, dispute-resolution, and legal requirements.
Different types of information may therefore be retained for different periods.
Order and transaction records may be retained after an order has been fulfilled when needed for accounting, tax, recordkeeping, fraud prevention, warranty or dispute purposes, or other legal obligations.
Unsubscribing from ongoing communications stops future communications from being sent to you, but it does not necessarily mean that a service provider deletes your contact record immediately. Service providers such as Brevo maintain their own retention practices for contact and interaction data, which may continue for a period after you unsubscribe, in accordance with their own privacy policy. If you would like your contact information removed rather than simply excluded from future communications, please contact us directly using the information in Section 12. We will take reasonable steps to delete the information within our control and, where appropriate, request deletion from the relevant service provider, subject to information that may lawfully or necessarily be retained.
When information is no longer reasonably needed by Etched from the Soul, we may delete, anonymize, or securely dispose of it as appropriate.
11. Security
Etched from the Soul uses reasonable administrative, technical, and organizational measures intended to protect personal information and the operation of this website.
Those measures may include website security tools, access controls, secure payment processing, software updates, backups, and other safeguards appropriate to a small ecommerce business.
No website, electronic transmission, or storage system can be guaranteed to be completely secure. For that reason, we cannot promise absolute security.
12. Your Choices & Privacy Requests
You may contact Etched from the Soul if you would like to:
- ask what personal information we maintain about you;
- correct information that is inaccurate;
- request deletion of information where appropriate;
- withdraw from ongoing email communications; or
- ask a question about how your information has been used.
Some information cannot immediately be deleted when it must be retained for transactions, accounting, taxes, fraud prevention, legal obligations, dispute resolution, or another legitimate reason.
Depending upon where you live, applicable privacy law may provide additional rights concerning access, correction, deletion, portability, restriction, or other uses of personal information. Etched from the Soul will honor applicable rights as required by law.
To make a privacy request, please contact:
Etched from the Soul

We may need to verify enough information to reasonably confirm that the request relates to you before disclosing, correcting, or deleting personal information.
13. A Note About Sensitive & Clinical Information
Etched from the Soul offers contemplative, literary, artistic, and creative materials. The Etched from the Soul website and shop are not psychotherapy, medical, or healthcare services and are not designed to receive or maintain clinical records, psychotherapy records, medical records, crisis communications, or other information submitted for treatment purposes.
Purchasing a product, corresponding about an order, or submitting personalization information does not establish a therapist-client or other professional care relationship.
If you choose to share personally meaningful information in connection with a dedication, personalized piece, or ordinary correspondence, we will treat that information as described in this Privacy Policy.
14. Children
Etched from the Soul’s website and products are intended for adults and are not directed toward children under 13.
We do not knowingly seek to collect personal information directly from children under 13 through this website.
If you believe that a child has provided personal information to Etched from the Soul without appropriate authorization, please contact us so that we may review the circumstances and take appropriate action.
15. Links to Other Websites
The Etched from the Soul website may contain links to websites or services operated by others.
Once you leave our website, the privacy practices of those websites or services are governed by their own policies. Etched from the Soul is not responsible for the privacy practices or content of websites it does not operate.
16. Changes to This Privacy Policy
Etched from the Soul may update this Privacy Policy as the website, shop, services, technology, or applicable requirements evolve.
The current published version will identify the date of its most recent update.
Material changes will apply from the time the revised policy is published unless applicable law requires otherwise.
